Privacy Policy

Last updated 1 June 2026. We handle personal information in line with the Australian Privacy Principles (Privacy Act 1988).

1. What we collect

  • Account information: name, email, phone, business name, billing details.
  • Customer data: information you store about your leads, members and staff inside Fit System.
  • Usage data: log files, IP addresses, device information and analytics events to keep the service working and improve it.
  • Payment data: handled by Stripe. We don't store full card numbers on our servers.

2. How we use it

  • To deliver and improve the Fit System service.
  • To process payments and send transactional emails (receipts, password resets, alerts).
  • To respond to support enquiries and share product updates you've opted in to.
  • To meet legal, accounting and security obligations.

3. Sharing and sub-processors

We use trusted sub-processors to run the service: Stripe (payments), Resend (transactional email), Supabase (database hosting), and Google Workspace (internal email). We don't sell personal information.

4. Where data is stored

Customer data is stored on cloud infrastructure with major providers. Where data is processed outside Australia, we take reasonable steps to ensure it's protected to a comparable standard.

5. Security

We use HTTPS in transit, encryption at rest, role-based access controls, and audit logging. No online service is completely secure — please use a strong, unique password and tell us immediately at hello@fitsystem.com.au if you suspect any unauthorised access.

6. Retention

We retain account and customer data while your subscription is active. After cancellation, data is available for export for 30 days and is then deleted from production systems within 90 days, except where we're required to keep records for legal or accounting reasons.

7. Your rights

You can access, correct or delete your personal information at any time by emailing hello@fitsystem.com.au. If you have a complaint about how we've handled your information, you can also contact the Office of the Australian Information Commissioner (OAIC).

8. Cookies and analytics

We use first-party and third-party cookies for authentication, analytics (Google Analytics) and marketing measurement (Meta and Google pixels where you've enabled them). You can disable cookies in your browser settings.

9. Changes

We may update this policy from time to time. Material changes will be notified to account owners by email.
